Refund & Returns Policy

Thank you for choosing Vertex Automata. Because we deliver digital services and intangible software solutions, our refund policy is designed to be clear and fair to both parties. Please read this policy carefully before making a purchase.

1. Nature of Our Services

Vertex Automata provides exclusively digital products and services, including AI automation workflows, chatbot integrations, LLM-powered systems, and add-on packages (such as extended FAQ sets, priority setup, support weeks, and logo icon design). As these are intangible digital deliverables, there are no physical goods involved, and no physical returns are applicable.

2. Service Plans (Starter, Pro, Enterprise)

Before Work Begins: If you have made a payment and our team has not yet commenced any work on your project, you are eligible for a full refund. Please contact us within 24 hours of payment to request this.
After Work Has Commenced: Once development, configuration, or deployment work has begun on your project, refunds will not be issued. This is because significant time, resources, and intellectual effort have already been applied to your engagement.
After Delivery: Once a deliverable has been provided, reviewed, and accepted by the client, no refunds will be issued. If you believe a deliverable does not meet the agreed-upon specifications, please raise a formal dispute within 7 days of delivery and we will work to resolve it.

3. Spin & Win Payments ($10 / LKR 3,200)

The Spin & Win feature on our website allows users to pay a one-time fee to spin a prize wheel and receive a discount code or bonus package.

Successful Spin: Once a spin has been completed and a reward code has been issued to you, the payment is non-refundable. The prize wheel spin itself constitutes the full delivery of the paid service.
Technical Failure: If you completed payment but were unable to spin the wheel due to a technical error on our end (e.g., the page crashed before the wheel loaded), please contact us at vertexautomata57@gmail.com within 48 hours with your payment reference number. We will either issue a refund or manually deliver your reward code.
Duplicate Payment: If you were charged more than once for a single spin due to a payment gateway error, please contact us immediately with proof of both transactions and we will refund the duplicate charge.

4. Add-On Packages

Add-on packages (Extra FAQs, Free Logo Icon, Priority Setup, Extended Support) are non-refundable once the add-on has been activated or delivered. If an add-on has been purchased but not yet activated, please contact us within 24 hours for a full refund.

5. Monthly Retainer Services

Monthly retainer plans are billed in advance on a 30-day cycle. You may cancel your retainer at any time; however, the current billing period is non-refundable. Cancellation takes effect at the end of the current billing cycle and no further charges will be made.

6. How to Request a Refund

To request a refund, please contact our support team with the following information:

Your full name and the email address used for the purchase.
Your payment reference number or transaction ID.
A brief description of the reason for your refund request.

We aim to process all eligible refund requests within 5–7 business days. Refunds are returned to the original method of payment. The time for the refund to appear in your account may vary depending on your bank or payment provider.

7. Payment Processor

Payments on our website are processed by PayHere (for LKR transactions) and PayPal (for USD transactions). Vertex Automata does not store your card or payment details. Disputes related to the payment processing itself (e.g., unauthorized charges) should also be raised directly with your bank or card issuer.
